Nexus CRM: One System for Pipeline, Delivery, and Follow-Ups

Nexus CRM is the system we run our own business on: sales, project delivery, and the follow-ups that used to live in someone's inbox. It keeps company information current on its own, sends follow-ups on schedule, and gives clients a simple way to check on their project without emailing to ask.

Overview

Most teams end up running their business across a pile of disconnected tools: a CRM for sales, a different tool for project delivery, a spreadsheet for tracking hosting renewals, and follow-ups that live in whichever inbox someone last checked. None of these tools talk to each other, so the same company's information gets typed in three different places, and it's never quite clear which version is current.

Nexus CRM puts all of that in one system. Open it up and you see what's closed, what's still being worked on, and what needs attention today, all in one place. Every company and contact sits next to their deals, emails, projects, and any hosting or subscriptions they have with us. On any customer record, there's a button to have the system look the customer up again and refresh what it knows, so records don't go stale just because nobody remembered to update them.

We built this as the system we run our own company on, and now we build the same kind of system for other businesses that are tired of stitching five tools together by hand.

The Challenge

Most CRMs on the market are really just a database with a form attached, and the newer "AI" ones just bolt a chatbot onto the side. Neither one actually solves the everyday problems a growing team runs into:

  • Customer information goes stale fast. The moment someone stops manually updating a record, it starts falling out of date, and keeping it current takes real, ongoing effort.
  • Sales, delivery, and billing live in separate tools. When a deal closes, it doesn't automatically turn into a project the client can see progress on. Someone has to set that up by hand.
  • Follow-ups live in someone's personal inbox. There's no shared view of who still needs a reply or where a conversation left off, so things slip through.
  • Clients have no way to check progress on their own. Without a way to check in themselves, the only update they get is another status email, if someone remembers to send one.
  • A chatbot that makes things up is worse than no chatbot at all. If an AI assistant guesses at facts about a customer, nobody can tell whether it's right, which makes it useless for anything that actually matters.

The Solution

Nexus CRM connects everything a growing business actually needs to track, so nothing has to be re-typed or double-checked to stay accurate:

  • A dashboard showing closed deals, what's still in progress, and what needs attention today.
  • Company and contact records that refresh themselves and come with a built-in assistant that can answer questions about that account.
  • A shared inbox for outreach and replies, plus automatic follow-up sequences that go out on schedule.
  • A deal board that tracks every opportunity by stage, value, and owner.
  • A delivery tracker for active projects, with a link clients can open themselves to check progress.
  • A renewals tracker for domains and hosting, so nothing expires by surprise.
  • A simple way to build automations by describing what you want in plain language, no coding involved.

Key Features

Every Customer in One List, Not Scattered Across Spreadsheets

Every company you work with shows up in one searchable list, with who owns the relationship, what industry they're in, and what's happening with them right now. No more digging through a side spreadsheet someone forgot to update.

Nexus CRM Companies

A Customer Record That Already Knows the Account

Open any company and you'll see what they do, how they've been engaging with your website, and everything relevant already gathered in one place. A single button refreshes that information instead of someone having to look it up manually.

Ask a Question About the Customer, Get a Real Answer

Instead of digging through old emails to remember the history with a customer, you can just ask. The assistant answers using what it actually knows about that account, and shows where the answer came from, so you can trust it.

Contacts Tied to the Right Company

Every person is connected to the company they belong to, so there's always a clear record of who you're talking to and where they fit.

Nexus CRM Contacts

All Your Outreach in One Inbox

Emails to and from customers live right next to their record, not buried in someone's personal inbox. You can see which conversations still need a reply without hunting for them.

Nexus CRM Mail

Follow-Ups That Happen Without Anyone Remembering

Set up a follow-up sequence once, and it sends the next message automatically when it's due. Nothing depends on someone remembering to check back in.

Nexus CRM Sequences

A Clear View of Every Deal in Progress

See every opportunity laid out by stage, from first conversation to signed contract, with the total value of what's in the pipeline always visible.

Clients Can Check Their Own Project's Progress

Once a deal closes, it becomes a project clients can actually follow, with a simple link and a one-time code. They can see status and updates themselves, without waiting on an email.

Renewals That Never Sneak Up on You

Domains and hosting are tracked in one place, with clear status on what's active, what's expiring soon, and who's responsible for renewing it, so nothing lapses by accident.

Nexus CRM Subscriptions

Build Your Own Automations Without Writing Code

Describe a task in plain language, like checking in on key customers or summarizing the week's deals, and the system builds it into an automation the whole team can use.

Impact

For a team running Nexus CRM day to day, the difference shows up in how the work actually flows:

  • One source of truth: sales, delivery, and renewals all live on the same customer record instead of three separate tools
  • Follow-ups that don't depend on memory: outreach happens on schedule instead of whenever someone remembers
  • Clients stay informed without extra effort: project status is available any time, without a status meeting or a spreadsheet
  • No more surprise expirations: domain and hosting renewals always have an owner and a date attached
  • Less time reconstructing context: the built-in assistant already knows the account's history, so conversations start from the right place

Conclusion

Nexus CRM is the system we built because we needed one place for sales, delivery, and follow-ups that could actually stay accurate on its own. We now build the same kind of system for other businesses that are tired of manually keeping five tools in sync. If that sounds like the setup you're currently duct-taping together, it's worth a conversation.
